AE Outreach

Your Role is Critical to Our Success 

As an AE, your direct outreach ensures we fill the room with our most valued clients. While Marketing casts a wide net, the real impact comes from your white-glove, personalized attention.  

Marketing Support Schedule 

Marketing Email Cadence: 

  • Wave 1: September 23  
  • Wave 2: October 7 
  • Wave 3: October 21 
  • Final Wave: November 4 

Automated Reminder Cadence: Once clients register, they automatically receive event reminders on: 

  • October 1 
  • October 22 
  • November 5 

 Personalized Email from Andy: Sent to all clients who have registered. 

  • November 18 

AE Action Timeline 

Now - October 7: 

  • Tier 1 Clients: Begin personalized outreach to your top clients who received an invitation 
  • Review registration page so you know what clients will see 
  • Monitor registrations daily using the live registration list (linked below) 

October 7 - October 21: 

  • Tier 2 Clients: Work with your RDs, Joel, and Rob to extend invites to additional clients 
  • Continue follow-up with Tier 1 clients who haven't registered 

November 10 – November 14: 

Confirmation outreach: AEs begin reaching out to all registered clients to confirm they still plan to attend. This serves as a final client touchpoint and helps us determine an accurate headcount for event planning. 

 Process requirements:  

  • CC Madison Rocha on all confirmation emails for tracking purposes 
  • If client confirms via phone or direct message, notify Madison separately to record confirmation 
  • Please create personalized messages for this outreach. If needed, Marketing can provide a template. 

 VIP client exception: Traveling VIP clients are excluded from this outreach process as they're already in direct communication with Marketing. 

Personalized Outreach Best Practices 

Template Customization: 

  • Use the provided email template as a foundation 
  • Strongly recommended: Personalize it or write your own 
  • Reference specific projects, recent conversations, or shared experiences 

Key Messaging Points: 

  • This is our premier annual celebration designed exclusively for our top clients 
  • Space is limited to create an intimate, high-value networking environment 
  • Opportunity to connect with 500+ top industry leaders in the Myriad360 community 
  • Each invitation includes a complimentary guest (invitations are non-transferable) 


Client Management & Monitoring 

Registration Tracking: 

  • Live registration list: Available now - pin to your favorites and check this daily 
  • Real-time updates: See registrations as they happen (no individual notifications will be sent) 
  • Guest information: Client plus-one names will be visible once the client registers 

VIP Client Handling: 

  • For VIP clients whose travel we're coordinating, Marketing will handle registration manually 
  • These clients are automatically removed from invitation and reminder email cadences 

Attendance Gating: 

  • Attendance is strictly controlled 
  • Only approved clients from your submitted lists will be auto-confirmed 
  • Invitations are non-transferable (though natural sharing within client organizations is expected) 


Week of Event Coordination 

Additional Opportunities: 

  • Client dinners: Schedule entertainment outside of Thursday's events 
  • SME engagement: When possible, include engineers in client meetings/events 
  • Partner coordination: Work with CAMs and Partner Marketing to arrange sponsor meetings 
  • Thursday VIP Daytime Activity: We’ve made reservations at four renown NYC restaurants — La Tête d’Or, Torrisi, Gabriel Kreuther, and Estiatorio Milos (Hudson Yards). Once all clients, sponsors, and internal teams have registered, we will determine who attends which location. Additionally, we’ve purchased 120 tickets for our clients to experience sunset at SUMMIT One Vanderbilt. Guests may choose to attend SUMMIT or return to the Moxy following lunch.

Schedule:
11:45 AM:  Shuttles depart Moxy for lunch destinations
12:00 PM – 3:00 PM:  Dine-around lunches
3:00 PM:  Shuttles loop from restaurants to SUMMIT and on to Moxy
3:30 PM:  Ticketed reservation for SUMMIT
4:45 PM:  Shuttles collect guests at SUMMIT and return to Moxy
5:30 PM: Shuttles begin loops from Moxy to Lavan for Myriad360 team

6:45 PM:  Shuttles start bringing clients from Moxy to Lavan for main event
